Special Town Meeting
June 16, 2009 at 6:30 PM

ROAD BID OPENING
Present at this meeting were Chairman Frank Bartzen, Supervisors—Mike Suprenand, and Bruce Rhode, Treasure—Greg Michels and Clerk—Jill Randall.
With all notices having been properly posted, Frank called the meeting to order, stating that the purpose of this meeting was to open road bids for this year’s road projects.
Frank explained that the Town received one sealed bid from Fahrner Asphalt Sealers (Fahrner) by the bid deadline of June 16, 2009, 3:30 Pm. Another bid was received from Scott Construction, Inc. (Scott) after the bid acceptance deadline. Discussion took place regarding whether or not the board would accept the late bid. The Board unanimously decided to waive the deadline and accept Scott Constructions bid.
The Town requested bids for eleven (11) possible roadwork projects scheduled to be completed this year.
Fahrner bid was opened and found to be complete and within the specifications requested. Frank read the bid aloud. Bids were submitted for four (4) of the eleven projects. Bids were received for projects number 8, 9, 10 & 11. Please see Attachment “A” for a detailed list of road specifications and amounts bid per project. The total bid amount for all four projects bid by Fahrner was $46,991.00. If Fahrner was awarded all four projects a discount of $6000.00 would be applied and the cost of the four projects would be $40,991.00.
Scott Construction’s bid was opened and found to be complete and within the specifications requested. Frank read the bid aloud. Scott submitted bids on all eleven (11) projects. Please see Attachment “A” for a detailed list of amounts bid per project. The total bid amount for all eleven projects bid by Scott was $170,232.00.
Discussion took place regarding bid amounts, and what road project(s) could be cut or scaled back to stay within the Town budget. Project number one was cut for this year.
Mike moved to award Scott Construction projects number 2 through 7 and to award Fahrner Asphalt Sealers project numbers 8 through 11 pending completion of reference checks on Fahrner. Bruce seconded the motion. Motion carried 3-0.
Scott Construction bid total for projects 2 through 7:
$ 85,095.00
Fahrner Asphalt Sealers bid total for projects 8 through 11
$ 40,991.00
Total Road Projects: $126,086.00
With no further business to discuss Mike moved seconded by Frank to adjourn the meeting. Motion carried 3-0. Meeting adjourned at 8:06 Pm.
